1099-MISC or W-2? Which Form You Need to File for Your Workers

There are a lot of IRS forms that need to be completed for your company. But when it comes to Form 1099-MISC and Form W-2, which one should you choose to report payments made to workers within the course of your business?

Form 1099-MISC vs. W-2 Forms
Form 1099-MISC is used to report financial details regarding payments you’ve made to workers for their services as they relate to your business throughout the year. W-2 Forms are also used to report financial details regarding payments you’ve made to workers for their services as they relate to your business throughout the year. The differences are in the nuances of each form.

Basically, Form 1099-MISC is used to report payments made to independent contractors while W-2 Forms report payments (or salaries) paid to employees. But how do you decide if someone has been hired as an independent contractor or an employee?

Well, you could complete Form SS-8 and submit it to the IRS and they’ll let you know into which category your workers fall. This process could take up to six months, though, so if you’d like to figure it out a little faster, just scroll down a little further!

How to Decide
You can determine your workers’ types of employment by assessing the degree of control and independence each worker has over the job he or she has been assigned. You can determine this degree of control by considering the three following categories:
  • Behavioral control, or whether you exercise the right to direct or control how the worker does the work. Businesses have the right to direct and control employees regarding how their work is done but not how independent contractors complete a job.
    • Ask Yourself: Do you control or have the right to control what and how the worker does his or her job?
  • Financial control, or whether you have the right to control the economic aspects of your worker’s job. The company generally controls these variables for employees while independent contractors will be in charge of them for him or herself.
    • Ask Yourself: Are you responsible for how the worker’s paid, expense reimbursement, and providing tools/supplies?
  • Type of Relationship, or how you and the worker perceive your relationship. Contracts, employee benefits, and work permanency can provide insight into identifying the relationship. Employees tend to require more contracts and employee benefits and are more of a permanent part of your business than independent contractors.
    • Ask Yourself: Do you have written contracts or employee-type benefits (i.e., pension plans, insurance, vacation pay, etc.) for your workers? Will your relationship continue and is their work a key aspect of the business?

Be sure to weigh all of these factors so you can accurately determine which form you need to complete for your payees.

Then, once you’ve correctly assessed the status of your workers and which forms they need, you can easily and securely e-file Form 1099-MISC or Form W-2 with ExpressIRSForms! Create an account today!

How to E-file Form W-2 with ExpressIRSForms

That W-2 Form deadline is just a week away so if you haven’t already filed, it’s definitely the time to start looking into doing so!

Luckily, you’ve landed upon ExpressIRSForms, one of the best places for fashionably late filers. We’re an IRS-authorized e-file provider, and our program’s built with tons of features to help you get your W-2 filing done easily and quickly - sometimes in as little as just a few minutes!

So how does it work? Keep reading, and we’ll tell ya!

First, if you don’t have an ExpressIRSForms account, you’ll need to create one. Just go to www.ExpressIRSForms.com and click the “Register” button in the upper right hand corner. Fill out your basic information on this page:

And click “Create Account.” You can also use the Facebook or Google registration options at the bottom of the page.

Once you’re logged in, click the big orange “Start New Form” button on your Dashboard. Then you’ll see this window appear:

Go ahead and click the “W-2” button to continue to the next screen. From here, you’ll enter your employer details, including the name, EIN, address, and contact info. Once you’ve filled out this data, click “Next” for another pop-up that’ll ask you how you’d like to enter your employee information:

If you only have a few employees to file for, you can choose to enter their information individually. Or, if you have tons of employees and want to enter all their data at once, you can select the Multi-Data Upload option to bulk upload your info.

Once you’ve entered in your employees’ basic and financial information that’s needed for the W-2 Forms, you’ll be taken to a summary screen where you can view each of your W-2s to confirm they’re ready for filing. From this screen, you can also add more forms for this employer or even add another employer to file W-2 Forms for before you complete your filing.

After you’ve confirmed everything is accurate, click the “Continue” button to go to the next step, which is the “Choose Services” page. When you e-file with ExpressIRSForms, your forms are automatically e-filed with the federal agency they’re required to go to - in this case, the Social Security Administration. By clicking the “Choose Plan” icons on this page, you’ll be able to decide if you’d like to include state filing and postal mailing with your order as well:

Just an FYI - postal mailing means we’ll print and mail your recipient copies for you the very next business day after you order!

Once your order looks complete, click “Continue” to move along in the payment process. Review your order details on the next screen and click “Continue” again. Before you can e-file, you’ll need to enter your credit card details to pay our one-time transmittal fee to send your files along to the appropriate agencies.

Enter your credit card info, click “Continue,” then click the green “Transmit” button on the next page and your done! Your forms are sent and your stress levels should be no more worse for the wear!

If you have any questions during your filing process, you can always reach out to our customer support team. We’re here to help anytime! Give us a call at (704) 684-4751 or send us a live chat during our office hours, Monday through Friday, 9:00 a.m. to 6:00 p.m. EST. There are Only TWO Weeks Left to File Form W-2!

Alright, guys, January 31 is two weeks away and you know what that means:

You have two weeks left to file your W-2 Forms for employees you paid in 2016.

As we mentioned before, the deadline for all W-2 Forms to be in the hands they need to be (your employees’ and the SSA’s), in any format (paper or e-filing), is January 31, 2017. The Social Security Administration changed the deadline at the end of last year to apply beginning in 2017 with the 2016 tax year.

To spell it out for you, this means that
  • Your employee copies of Form W-2 must be mailed out by January 31, and
  • Your SSA paper copies of Form W-2 must be mailed out by January 31, or
  • Your SSA electronic copies of Form W-2 must be e-filed by January 31.

You may still have time to file an extension form (Form 8809), but keep in mind that it’s no longer automatic and you’re required to have a reason for needing more time to file. So you can apply, but if your extension is denied, you’ll still need to have your W-2 Forms in by January 31. Even if your extension is approved, this only applies for your time to file with the SSA, not for your time to get your employee copies out.

Of course, the quickest and easiest way to file your W-2 Forms and get your employee copies out is to do everything with ExpressIRSForms!

With ExpressIRSForms, you can easily and quickly enter in your W-2 information (either individually or with our bulk upload), then our program creates the IRS-authorized forms you need. Once you review that everything is entered correctly, just pay our one-time e-filing fee and securely e-file your forms directly with the SSA. And if you select postal mailing before you check out, we’ll mail your forms to your employees for you! By the next business day, we’ll print IRS-authorized copies of Form W-2 to send off to the employees for whom you filed.

In other words, just spending a few minutes on ExpressIRSForms could get all of your W-2 Form filing completely done!

If you have any questions about getting started, don’t hesitate to reach out to our customer support team! We’re available by phone (704-684-4751) and live chat Monday through Friday, 9:00 a.m. to 6:00 p.m. EST and offer 24/7 assistance at support@ExpressIRSForms.com.

EIF Reminder: The W-2 Extension Form is NOT Automatic!

We mentioned something about this way back in September, but so much has happened since then, we figured you may need a refresher!

Those of you filing the form W-2 required for the 2016 tax season this month who may need to utilize Form 8809 for 30-day extensions should know that this extension of time to file is no longer automatic for W-2 returns.

Of course, you can still apply for an extension of time to file your W-2 Forms. Just keep in mind that this form must be turned in before the January 31 deadline. And if your application is rejected, you’ll still need to have your W-2 Forms in by that January 31st deadline.

You are required to provide a reason for why you need to file. And remember that the SSA only allows extensions “in extraordinary circumstances (or) catastrophe.”

Additionally, to extend Form W-2 returns, Form 8809 must be submitted on paper this year. Mail it to:

Internal Revenue Service
Attn: Extension of Time Coordinator
240 Murall Drive
Mail Stop 4360
Kearneysville, WV 25430

Whether or not you need an extension, you can easily e-file W-2 Forms with ExpressIRSForms! All you have to do is create an account, fill in your W-2 information, pay, and transmit them directly to the IRS. Easy-peasy. And, hey, we’ll even mail your employee copies out for you if you select the postal mailing option before you e-file.

And if you have any questions, please don’t hesitate to reach out to our all-star customer support team. They’re available by phone (704-684-4751) and live chat Monday through Friday, 9:00 a.m. to 6:00 p.m. EST, and available by email 24/7 at support@ExpressIRSForms.com.

Time's Running Out to File Your 2016 W-2 Forms!

Time's Running Out to File Your 2016 W-2 Forms!
Quick - have you heard?!

The Social Security Administration (SSA) has changed the deadline for all filings for Form W-2 - paper filing, e-filing, and even employee copies - to January 31 starting with the 2016 tax year.

That means those paper forms you thought you had until February 28th, 2017 to send or the e-filing you intended to put off until March 31, 2017, for this year's set of W-2s are actually due by January 31, 2017.

The employee copies of your W-2 Forms were already due to be out by January 31, 2017, anyway, but now you need to make sure your W-2s are submitted to the SSA in some form by that date. Which means you don’t have much time left to get your W-2 Forms ready to go!

Of course, ExpressIRSForms will be here the moment the SSA opens up e-filing for the 2016 tax year to help get your forms filed and sent out on time! As an IRS-authorized e-file provider, we’ve got the edge to help securely e-file your forms as early as possible and the features to do it in no time at all.

And did we mention we do postal mailing? That’s right: before you e-file, just select the option to add in postal mailing. We’ll get an alert here at our headquarters in Rock Hill, SC and begin printing the employee copies of your W-2 Forms to securely mail them by the next business day.

Why, with ExpressIRSForms, you could have your W-2 Forms submitted to the SSA and sent to your employees in a matter of minutes - and well before the January 31 deadline too!

Head on over to ExpressIRSForms now to sign up for an account and learn more about e-filing with us! And if you have any questions, don’t hesitate to give us a call (704-684-4751) or send us a live chat; we’re available Monday through Friday, 9:00 a.m. to 6:00 p.m. EST. And we also provide 24/7 customer assistance through email at support@ExpressIRSForms.com!

Are You Prepared for the 2017 Filing Changes?

Whether you’re ready for it or not, there are some big changes coming in 2017. And with the way 2016 has been moving, they’ll be here before we know it.

Now, as you know, the information return filing you do to report things like your employees’ salaries and their healthcare benefits or your independent contractors’ earnings is done at the beginning of each year. That’s not changing: you still need to prepare to file W-2s, 1099s, and ACA Forms starting in just a month and a half.

So just what is different about this year? We’re glad you asked:

New Deadlines
  • ACA Forms
    • The deadline to have copies of Form 1095-B/C to your employees/recipients, which was March 31 last year, will be January 31, 2017.
    • The deadline to paper file Form 1094 and 1095 with the IRS, which was May 31 last year, will be February 28, 2017.
    • The deadline to e-file Form 1094 and 1095 with the IRS, which was June 30 last year, will be March 31, 2017.
  • W-2 Forms
    • The deadline to have employee copies of Form W-2 furnished and to have SSA copies filed (e-filed or by paper) will be January 31, 2017.
    • In previous years, copies of Form W-2 were due to employees by January 31, to the SSA if paper filing by February 28/29, and to to the SSA if e-filing by March 31. For 2016 filing, all W-2 Forms must be delivered to the appropriate recipient by January 31.
    • Also, note that extensions for Form W-2 are no longer automatic. You can still apply for a 30-day extension, however, by filing Form 8809.
  • 1099 Forms
    • If you’re reporting nonemployee compensation payments in box 7 on Form 1099-MISC, that form must be filed with the IRS, as well as mailed to the recipient, by January 31, 2017.
    • This new deadline only applies for the Form 1099-MISC in the 1099 Form Series and only if box 7 is completed. Otherwise, the form may be filed with the IRS by February 28 (if paper filing) or by March 31 (if e-filing).

New Codes and Costs
  • ACA Forms
    • On Line 14 of Form 1095, where the code for the corresponding offer of coverage is entered, the IRS has gotten rid of code 1I (Qualifying Offer Transition Relief 2015) and added code 1J (MEC offered to employee and spouse) and code IK (MEC offered to employee, spouse, and dependents).
    • On Line 16 of Form 1095, where the code for applicable safe harbor relief is entered, the IRS has gotten rid of code 2I (non-calendar year transition relief).
  • W-2 Forms
    • Before, the most you stood to pay for late, incorrect, or missing W-2s was at most $3 million ($1 million for small businesses). For the 2016 tax year and future years, late or incorrect W-2 Forms will be charged $50, $100, or $260 per form.
    • The fee is determined based on when the complete, correct Form W-2 is filed and cannot exceed $3,193,000 ($1,064,000 for small businesses) per calendar year.

Same Reliable ExpressIRSForms
ExpressIRSForms can keep you prepped and ready for all these new changes! We’re already busy updating and perfecting our software for the new codes and deadlines coming in 2017. And you’ll find that all your favorite features to keep your filing fast and easy are still here, like bulk upload and postal mailing (where we mail your recipient copies for you!).

And, as always, if you have any questions, our support team is here to help! We’re available Monday through Friday, 9:00 a.m. to 6:00 p.m. EST, by phone (704-684-4751) or live chat; we’re also available 24/7 at support@ExpressIRSForms.com.

E-file Your W-2 Forms with ExpressIRSForms

Did you know about this awesome and simple solution for e-filing your business’s W-2 Forms? If you’ve read the title, you probably know where we’re going with this: it’s ExpressIRSForms!

The E-filing Basics
For a few years now, the IRS hasn’t really kept it a secret that everything goes a lot more smoothly when you e-file. In fact, if you have more than 250 of any one form (W-2s included), you’re required to e-file that return. E-filing is easier to complete, more secure, and faster than our previous filing habits. So why not hop aboard the e-filing train?

The ExpressIRSForms Basics
ExpressIRSForms actually started out as ExpressTaxFilings, which had its first season “way back” in 2013 for 1099 and W-2 e-filing for the 2012 tax year. When we started adding more non-tax information forms (like the W-9 and the ACA forms), we realized we needed a little make-over.

But everything we built into ExpressTaxFilings (and more!) to make e-filing faster and easier than ever - like the bulk upload and error checks - stayed with ExpressIRSForms.

Information Needed to File W-2s
So before you sit down to e-file with ExpressIRSForms, there’s some information you’ll need to complete your W-2 Forms:
  • Employee info, like their name, address, and social security number,
  • Employer info, like your name, address, EIN, and state ID (if applicable), and
  • Financial information, like their wages, as well as federal and state tax withheld.

E-filing with ExpressIRSForms
Once you create an account with ExpressIRSForms, it only takes a few simple steps to complete your W-2 return:
  • From your Dashboard, click “Start New Form” then select the W-2 option.
  • Enter your employer information and “Next.”
  • Select whether you’d like to enter your employees and their information individually or by bulk uploading an Excel template that contains their data.
  • Enter your employee details based on the selection you made in step 3.
    • If you selected individually, you’ll enter their basic details then their financial details one by one.
    • If you selected bulk upload, use our spreadsheet or one of your own to enter all the data and upload it at once.
  • Review your forms on the summary page, pay our low, one-time transmittal fee, and send your forms securely along to the IRS!
You can even decide how to send your Form W-2 employee copies with ExpressIRSForms. You can do it the old-fashioned way by printing the PDFs from your Print Center after you file and mailing them yourself OR you can select to have us do that for you before you transmit. If you choose the latter, we’ll make sure to have your W-2 Forms sent out from our headquarters in Rock Hill, SC by the next business day.

Ready to sign up? Have more questions? Our all-star customer support team is here no matter what you need. Just give us a call (704-684-4751) or send us a live chat Monday through Friday, 9:00 a.m. to 6:00 p.m. EST, or send us an email 24/7 to support@ExpressIRSForms.com!

E-filing Forms W-2 and W-3

We’ve covered quite a bit on Form W-2 over the past month or so: everything from the new deadline to new extension form regulations and even a bit about those pesky penalties.

So now it only makes sense to go over how to e-file Form W-2 and what the deal is with its companion form, the W-3.

E-filing Form W-2
First things first: if you have more than 250 W-2 Forms to file, you’re required by the IRS to e-file. Even if you’re not quite there and only have a few W-2 Forms to submit, we (and the IRS) strongly recommend e-filing anyway. It’s easier, faster, and more secure - if you sign on with an IRS-authorized e-file provider like ExpressIRSForms, that is.

With ExpressIRSForms, you can have your W-2 Forms e-filed with the IRS and mailed out to your employees in just a few steps:
  1. Create an account.
  2. Select that you’d like to create W-2 Forms from your Dashboard.
  3. Fill in your basic employer information (name, EIN, address).
  4. Fill in your employees’ details, including their basic info as well as their federal and state income and tax withheld.
  5. Review your forms and select whether you’d like us to mail your employee copies of Form W-2 for you.
  6. Pay the one-time transmittal fee and securely send your return off to the IRS!
It’s that easy. And with built-in error checks, you’re sure to have everything filed correctly the first time around!

And Form W-3
One of the biggest bonuses of filing online is that Form W-3 isn’t required to be completed and sent with your return when you e-file. It’s the transmittal form for Form W-2 which means it summarizes the contents of the W-2 return it accompanies. Because W-2 e-filing is more streamlined than paper filing, Form W-3 isn’t needed online.

If you do insist on paper filing, you will need to complete one Form W-3 to be sent with your W-2 Forms. You’ll need the following information to complete it:
  • Payer or Employer type
  • Total number of W-2 Forms
  • Employer name, EIN, address, and state ID number
  • Total income and taxes withheld reported in your W-2 Forms
And your W-2 return, along with Form W-3, should be sent to the following address by January 31, 2017:
Social Security Administration
Data Operations Center
Wilkes-Barre, PA 18769-0001

If sending your return by Certified Mail, change the ZIP code to 18769-0002. And if you use an IRS-approved private delivery service, include in the address “ATTN: W-2 Process, 1150 E. Mountain Dr.” and change the ZIP code to 18702-7997.

Penalties Increase When You File W-2 Forms Late

You know how sometimes you’re late and that’s the worst that could happen? Like in a college course with a lenient professor or when you’re the boss and are a few minutes late to a meeting. Unfortunately - and not surprisingly - “being late” isn’t considered a punishment in and of itself with the Social Security Administration (SSA).

Instead, if you file your W-2 forms late, they’ll have you count up even more money this year to send them to give you a chance to think about what you’ve done. In previous years, the absolute most the IRS could fine you for late filing was a measly $3 million ($1 million if you’re a small business). Now, that number can get upwards of $3,193,000, or $1,064,000.

Keep in mind that you could be subject to this penalty if you:
  • Fail to file your W-2s on time,
  • Fail to include all the required W-2 information in your return,
  • Include incorrect information in your W-2 return,
  • File on paper when you’re required to e-file,
  • Report an incorrect TIN (so like an SSN or EIN),
  • Fail to report a TIN at all, or
  • Fail to file paper W-2 Forms that are machine readable.
There is a small silver lining: if you have reasonable cause for why you were late or incorrect in your filing, the IRS will work with you to get your W-2s filed correctly rather than penalize you. So best start preparing a better excuse than “the dog ate my information returns” because these are the fees you’re looking at for late or incorrect W-2 filing:
  • $50 per W-2 Form if you file correctly within 30 days of your due date
    • Maximum penalty: $532,000
    • Maximum penalty for small businesses: $186,000
  • $100 per W-2 Form if you file correctly more than 30 days after your due date but before August 1
    • Maximum penalty: $1,596,500
    • Maximum penalty for small businesses: $532,000
  • $260 per W-2 Form if you file after August 1 or don’t file your returns or corrections at all
    • Maximum penalty: $3,193,000
    • Maximum penalty for small businesses: $1,064,000

Now you see why it’s such a big deal to have your W-2 Forms filed on time, especially since that the deadline to complete and submit your W-2 return with the SSA has changed. So it’s a good thing you’ve found your way to ExpressIRSForms! Our program makes e-filing your W-2 Forms as fast and simple as possible. Sign up today to get started and set up your account in preparation for the upcoming tax season!

And if you have any questions about the upcoming tax season or e-filing your W-2 Forms, just give us a call! We’re available by phone (704-684-4751) and live chat Monday through Friday, 9:00 a.m. to 6:00 p.m. EST. And we also offer 24/7 assistance by email at support@ExpressIRSForms.com!

SSA Form W-2 Extensions are No Longer Automatic

More news on the Form W-2 front!

Last week we learned that the deadline to have Form W-2 filed with the Social Security Administration (SSA) has been moved up to January 31. So be sure to keep that in mind as you prepare for the upcoming filing season!

Another new thing to keep in mind is that extensions of time to file Form W-2 with the SSA are no longer automatic.

You can still apply for a 30-day extension of time to file your W-2 Forms with the SSA by submitting Form 8809, Application for Extension of Time to File Information Returns, by January 31. Keep in mind though that you’ll need to provide a reason for your request and the SSA will only allow extensions “in extraordinary circumstances or catastrophe.”

Remember: if you’re granted an extension with Form 8809, it only applies to your W-2 Forms that are sent to the SSA. The copies of Form W-2 that are sent to your employees will still need to be sent by January 31.

Form 8809 must be submitted in paper form this year, so you'll want to make sure you send it off as soon as you know you'll need an extension. Form 8809 should be mailed to: Internal Revenue Service, Attn: Extension of Time Coordinator, 240 Murall Drive, Mail Stop 4360, Kearneysville, WV 25430.

Luckily, you can still e-file your W-2 Forms with ExpressIRSForms! Not yet, that is; you’ll need to wait until January 1, 2017, to apply for an extension or submit your 2016 return. But you can create your free account today and play around with the program to prepare for the upcoming filing season - it’ll be here before we know it!

In the meantime, if you have any questions about e-filing Form 8809, Form W-2, Form 1099, or ACA forms, give us a call! We’re here Monday through Friday, 9:00 a.m. to 6:00 p.m. ET, and available by phone (704-684-4751) and live chat. We also offer 24/7 email assistance at support@ExpressIRSForms.com!

The SSA Deadline to File W-2 Forms Has Changed

Heads up, business filers!

You know how when you fill out your W-2 Forms for your employees every year you have to send a copy to them by January 31 and e-file a copy with the Social Security Administration - or SSA - by March 31 (February 28/29 if paper filing)?

Well the SSA is changing all of that this year. As if the IRS’s Affordable Care Act deadlines moving back up wasn’t enough of a tax season stressor, the SSA is now requiring all filers (paper and electronic alike) to submit their W-2s to the SSA by January 31, the same day they’re due for your employees.

Naturally, if January 31 happens to fall on a weekend or a national holiday, the deadline will be extended to the next business day. Unfortunately, in 2017 - the first year this new deadline will take effect - January 31 falls on a plain, old Tuesday, so make sure you’re completely prepared to have your W-2 Forms filed on time. If you’re late, you stand to incur some pretty hefty fines.

ExpressIRSForms can help guarantee your W-2 Forms are in the hands (or on the computers) of those who need them by the time they’re required to have them. With features like an online address book as well as cloud-based programming and bulk uploading capabilities, it’s never been easier to complete and e-file your W-2s.

And before you e-file, click to engage our Postal Mailing feature; we’ll get an alert here at our offices in Rock Hill, South Carolina and mail out the employee copies of your W-2 Forms by the next business day!

While it’s still too early to e-file, you can create an account with ExpressIRSForms today. And if you have any questions about getting started or the e-filing process, we’re here to help! Just give us a call at (704) 684-4751 or send us a live chat during our office hours, Monday through Friday, 9:00 a.m. to 6:00 p.m. ET. Getting to Know Form W-2

Buckle up, ExpressIRSForms readers, because this month we’re switching gears from ACA and general-tax-talk to really get to know one of our most popular forms: Form W-2!

Now, before we get to the real nitty gritty with Form W-2, let’s first learn a bit more about it. Form W-2 is an IRS information return, also known as a Wage and Tax Statement, that’s used to report wages paid to employees and the taxes withheld from them throughout the year.

Who Needs to File Form W-2?
Form W-2 is filed each year by every employer who paid employees for their services performed, including noncash payments of $600 or more, that year. A W-2 form must be filed for each employee by the employer for whom:
  • Income, Social Security, or Medicare tax was withheld.
  • Income tax would have been withheld if the employee claimed one or fewer withholding allowances on Form W-4, Employee’s Withholding Allowance Certificate.

Where is Form W-2 Filed?
At ExpressIRSForms, of course! We’ve got one of the fastest, easiest, IRS-authorized e-filing programs for W-2s on the market! And while the IRS and SSA encourage employers to e-file - and require employers to if they have more than 250 forms - you may not be the e-filing type. We understand that, and we’re still here to help. Paper filers should file Copy A of Form W-2 with Form W-3 with the following address:
Social Security Administration
Data Operations Center
Wilkes-Barre, PA 18769-0001
But, as we said, it’s much easier to e-file with ExpressIRSForms than it is to paper file. And since it’s free to create an account, why not give it a go? With ExpressIRSForms, you don’t pay until you’re ready to file, so we invite you to try out all of the built-in features that make W-2 filing even better than you could’ve imagined!

Have Any Questions?
Here at ExpressIRSForms, we’re committed to helping you through every step of the e-filing process. If you have any questions about getting started or e-filing your W-2 returns, don’t hesitate to contact our all-star customer support team. We’re available by phone (704-684-4751) and live chat (through our site) Monday through Friday, 9:00 a.m. to 6:00 p.m. ET, and we offer 24/7 email assistance at support@ExpressIRSForms.com!

The Forms of ExpressIRSForms

Boy, oh boy, has it been a big year for ExpressIRSForms! Growing from the simple, dependable e-filing base ExpressTaxFilings created with its 2012 launch, ExpressIRSForms had a booming first season, providing you with more e-filing capabilities than ever before.

The expansion into ExpressIRSForms brought with it e-filing support for twice as many IRS forms as before. To catch you up on all the forms we’ve added, here’s a bit about all the forms you can e-file at ExpressIRSForms.

Form 1099
The Form 1099 is a classic, used to report when a taxpayer has received income from sources other than a wage-paying job. That means it needs to be filled out by you (the employer) for all of the independent contractors and other non-employees you paid more than $600 to throughout the year for work related to your business.
Depending on how the payee received that moolah is which 1099 form you need to complete. Luckily, ExpressIRSForms supports four of the most commonly used 1099 forms, as well as their correction and transmittal forms:
  • Form 1099-MISC, used to report payment for services performed for a business by people who aren’t employees, like subcontractors, renters, or prize recipients
  • Form 1099-INT, which summarizes income of at least $10 from interest income
  • Form 1099-DIV, used by banks and financial institutions to report dividends and other distributions over $10 received
  • Form 1099-R, which reports distributions of retirement benefits over $10

W-2 Forms
For the people you hired as actual employees, we’ve got Form W-2 generation and e-filing. And when you e-file your W-2s with ExpressIRSForms, a digital copy of Form W-3 (the W-2 transmittal form) is automatically sent to the IRS along with your return. And while we try to make sure your return is sent off without any errors, making corrections to rejected W-2s is a breeze through ExpressIRSForms.
Affordable Care Act Forms
One of the biggest changes from ExpressTaxFilings to ExpressIRSForms was the addition of ACA Forms 1094-B, 1094-C, 1095-B, and 1095-C. Starting with the 2015 tax year (which was filed this past tax season), these forms became required to be filed by certain business owners and health insurance providers. ExpressIRSForms was one of the first IRS-authorized e-filing programs to have software capable of filing ACA forms, and we work every day to make sure we stay the best option for it.

Form W-9
Form W-9 isn’t a form you need to file with the IRS, but it is a form you need to complete to be able to complete the forms you need to file with the IRS. Typically when you hire someone, you’ll have them fill out and sign a Form W-9 to have a record of the information you’ll need to fill out their tax information returns each year, whether that’s a 1099, W-2, or ACA form. ExpressIRSForms gives you the ability to handle getting all that information and e-signature through a secure portal within your account. How simple does that sound?

Wanna Know More?
We get it, August isn’t a big time to think about your information returns. Or the upcoming tax season. That’s why we aim to make everything about your information return e-filing easier. So take a minute, check out our site, create an account, give us a call if you have a question. Then, go enjoy the rest of your summer, and come back in January when we’ll have everything ready for you to complete your 2015 return!

ExpressIRSForms E-filing Features: Postal Mailing

At ExpressIRSForms, we’re all about the features - the features that make e-filing for users like you easier than ever. Last week, we talked about our Bulk Upload feature, and this week we’ll take you through our Postal Mailing feature, as well as talk a bit about the checkout process with ExpressIRSForms.
What is Postal Mailing?
So you might be wondering what we mean when we say “the postal mailing feature.” You came to an e-filing site, why are we talking about physically mailing your forms? Well, it’s simple: if you select our postal mailing package, not only will we e-file your forms federally and with your state (if applicable), but we’ll also mail the employee/payee copies of your forms to your recipients for you.

For an additional postage fee, you could quite literally be done with your filing as soon as you hit Transmit from your ExpressIRSForms account.

How Do I Get This Awesome Feature?
In order to show you how to utilize our postal mailing feature, we’ll need to back up a couple of steps to your first summary screen:

Before you select the e-filing package you’d like, you’ll see this screen which shows a summary of your order so far. From here, you can view, edit, and delete any forms you’ve completed, broken down by payer. You can also add another form for this payer by selecting the “Add form for this Payer” button, circled above on the far right. Pro tip: to get more bang for your buck, add any other payers and their forms before continuing to check out.

When you’ve got everything in order, click Continue and you’ll see this screen:

In this option, you’ll see that Federal E-file Only is the package that has been selected. As a result, even though I’ve entered state information on my W-2s, they’ll only be federally filed with the IRS and SSA, not with the state (of South Carolina, in this case).

To include postal mailing, you’ll need to select the Package tab, like in this example:

As you can see, my state icons have turned green, as have the plan options on the left side of the screen to reflect my choosing to file federally and with the state, and to have postal mail sent to my recipients. Keep in mind that even if you select this option, your state icons may not turn green; they may become any one of these stoplight colors:

So make sure you pay attention to what the signs say before proceeding. When you do click Continue, you’ll see a brief explanation of the filing requirements for the state for which you’re filing (if applicable):

Some users will be delighted to see they don’t need to do anything else while others will still be required to file additional forms with their state. Once you’ve got your ducks in a row, click Continue to be taken here:

Here we have a summary of the completed e-filing order and details on the package I chose. From here on out, it’s just a matter of paying the piper and transmitting your forms. Once you transmit your forms, your recipient copies will be sent out to your employees/payees by the next business day from our offices here in South Carolina.

If you have any questions about e-filing or the ExpressIRSForms e-filing packages, give us a call at 704-839-2270. We’re available Monday through Friday, 9:00 a.m. to 6:00 p.m. EST. We also offer 24/7 email support at support@ExpressIRSForms.com.

ExpressIRSForms E-filing Features: Bulk Upload

When you e-file with ExpressIRSForms, you have access to a few bonus features designed to make your 1099, W-2, and ACA filings the easiest they’ve ever been. Of these functions, the Bulk Upload option is great if you’re one of our high volume filers.

We added the Bulk Upload feature, so you don’t have to input information for each recipient or employee if you’ve got a whole bunch of ‘em. Instead, just upload an Excel spreadsheet (or use ours!) of your recipients’ information, then check to make sure everything transferred correctly before transmitting all of your forms. It’s so easy, we’ll break it down for you:

First Things First
Create or log into your account from www.ExpressIRSForms.com. On your Dashboard, you’ll see an orange button that says Start New Form. Click this. Pro tip: If you’ve filed with us before and have multiple payers, make sure to select the appropriate payer on the left side of the screen before starting your forms.

From the handy dandy pop-up, select which forms you need to file (1099, W-2, or ACA). You’ll then either enter your payer information, or verify the information is correct if you’re filing for a payer already in your account. When you hit Continue, you’ll see this:

Select the Bulk Upload option, and we’re on our way!

Here Comes the Upload
Once you select Bulk Upload, you’ll be asked to choose if you want to upload your own Excel spreadsheet…

Or use ours. Let’s pretend you’re going to use ours:

Step 1 is to download the blank Excel document. Transfer the information needed for your recipients into this document, then make sure to save it. Next, upload your newly saved Excel document by clicking Choose File under Step 3. Press the magical, orange Upload button, and ALAKAZAM! Your information will appear in your account all at once.

Well, okay, it’s not that magical. But for someone who isn’t super knowledgeable about how computers work (like me), it’s pretty darn close.

And Now for the Previews
Next, you’ll need to make sure all of the data is mapped correctly. If you used our Bulk Upload document, you shouldn’t have to do anything. But if you used your own, you may need to move and adjust where each value is supposed to go on the form.

Once everything is in its proper place, you can preview your forms by clicking to the next step:

Use the blue arrows (seen circled in green) to scroll through your forms to make sure all your ducks are in a row, then click Continue to Import. You’ll then see this nifty little screen:

Double check to make sure everything imported correctly. In other words, make sure the first two numbers match (and match the number of forms you need to file) and the last number is zero. From there, click Go to Summary, where you’ll see a summary of your order. Once you’re satisfied with your filing, you can pay and transmit your forms to the IRS. No heavy lifting required.

In this example, I was pretending to e-file 1099 forms, but the Bulk Upload feature works the same for any form you need to file with ExpressIRSForms. The only difference between uploading 1099s, W-2s, or ACA forms is the information required in your spreadsheet.

If you have any questions about the e-filing process or need help with the Bulk Upload feature, don’t hesitate to contact our customer support team. We’re available by phone (704-839-2270) and live chat Monday through Friday, 9:00 a.m. to 6:00 p.m. EST, and by email 24/7 at support@expressirsforms.com.

Today's the Last Day to Extend Your Business Return

Hey, business filers! You’ve got a lot of filing going on right now, what with the 1099 and W-2 e-filing deadline at the end of the month, and, oh yeah, the business tax return deadline that’s today!

If you’ve been a little distracted (and who could blame you?) and need some more time to file your business’s tax return, then now’s the time to act. And by act, I mean head on over to our sister product’s site, www.ExpressExtension.com, to e-file a Form 7004.

Form 7004 is the business tax extension form, and it must be filed by March 15 (today) each year. Once your form’s been processed by the IRS, you’ll be granted an automatic 5- or 6-month extension to file your tax return. Specific partnerships, trusts, and estates are only eligible for a 5-month extension, but most business will see their due date extend from March 15 to September 15.

Keep in mind that Form 7004 only extends your time to file your return, not pay any taxes owed. You’ll still need to pay any taxes your business owes to the IRS by today. You can contact the IRS directly for information on setting up a payment plan at the IRS’s business tax hotline, 1-800-829-4933.

E-filing Form 7004 with ExpressExtension only takes a few minutes if you have all of your information prepared, and your extension is generally processed and accepted within an hour of filing. To file, you’ll need the name, address, and EIN of your business, which must match what the IRS has on file. Additionally, you’ll need to provide an estimate of how much you owe in taxes. A reason, however, isn’t required to get an extension of time to file.

After your extension has been processed, ExpressExtension will even send you an email letting you know whether your form was accepted or rejected. If you paper file an extension, it’s not the IRS’s policy to notify you whether or not they accepted it: best case scenario, it gets accepted, and everything proceeds as normal. On the other hand, if it gets rejected and you assumed it wouldn’t be, you’re looking at a lot of late filing penalties. So use ExpressExtension. I know we’re a little biased, but wouldn’t you rather be 100% sure of your extension’s acceptance? Plus, if it does get rejected, you can correct and retransmit your form absolutely free!

We’ll be back with your regularly scheduled 1099/W-2/ACA blogs on Wednesday, and if you have any questions in the meantime, just give us a shout! The ExpressIRSForms team is available (and can answer your extension questions as well!) to assist you live Monday through Friday, 9:00 a.m.-6:00 p.m. EST by phone (704-839-2270) and live chat. We’re also available - although a little less “instant” - 24/7 at support@expressirsforms.com.

11 States with 1099 & W-2 Filing Deadlines Monday, February 29

State filing laws are about as diverse as the states themselves. As a result, it’s safest to contact your state department of revenue directly if you’re unsure of your state’s filing requirements. In the meantime, though, we’ve put together some basics on the states who require filings be complete by this coming Monday, February 29, 2016. Read on to see if you need to get filing!

Alabama
In Alabama, e-filed and paper filed W-2s, paper filed 1099s, and Form A-3 are due February 29, 2016. If you’re e-filing 1099 Forms, you still have until March 31 to file. If you’ve withheld Alabama income tax throughout the year, you’re required to file the Reconciliation Form A-3. ExpressIRSForms supports state 3-filing for all three of these forms. Paper filers can send their forms to:
          Alabama Department of Revenue
               Withholding Tax Section
                      P.O. Box 327480
            Montgomery, AL 36132-7480

Arkansas
Arkansas requires its residents to file all of their 1099s and W-2s, regardless of e-filing or paper filing, by February 29, 2016. Paper filers need to include their transmittal forms - ARW3 for W-2s, a copy of Form 1096 for 1099s - when sending their other forms. Arkansans filing W-2s must also file Reconciliation Form AR3MAR. ExpressIRSForms supports Arkansas state e-filing for 1099s and W-2s, but unfortunately not for Form AR3MAR. You’ll need to mail that here:
Individual Income Tax Section
Withholding Branch
P.O. Box 8055
Little Rock, AR 72203-8055

Arizona
In Arizona, filers need to have ALL W-2s, 1099 paper filings, Form A1-R, and Form A1-T filed with the state by February 29, 2016. Transmittal Form A1-R needs to be submitted with W-2 paper filings, and Reconciliation Form A1-T needs to be sent with W-2 forms. ExpressIRSForms supports e-filing in Arizona for 1099s, W-2s, and Form A1-T. If you wish to paper file, you can send your forms here:
Arizona Department of Revenue
P.O. Box 29009
Phoenix, AZ 85038-9009

Maryland
Maryland requires residents to file ALL W-2 forms, 1099 paper filings, and Form MW-508 by February 29, 2016. The Reconciliation Form MW-508 must be filed with your W-2 forms. ExpressIRSForms supports Maryland state e-filing for Forms 1099, W-2, and MW-508. Paper filers can send their forms here:
Comptroller of Maryland Revenue Administration Division
Taxpayer Service Station
110 Carroll Street
Annapolis, MD 21411

Michigan
In Michigan, only paper filings of Forms W-2 and 1099 are due February 29, 2016. But also due on this day is Reconciliation Form MI-165, which must be filed with W-2 forms. Unfortunately, ExpressIRSForms doesn’t support filing of Form MI-165, but we do support state e-filing for Forms W-2 and 1099 in Michigan. You can send Form MI-165 here if you filed W-2s:
Michigan Department of the Treasury
Department 77003
Detroit, MI 48277-0003

Minnesota
Minnesota doesn’t have any state-specific transmittal or reconciliation forms, but all W-2s filed by Minnesotans - as well as paper filed 1099 forms - must be filed by February 29, 2016. ExpressIRSForms supports Minnesota state e-filing for Forms 1099 and W-2, but if you’d like to paper file, you’ll need to mail your forms to:
Minnesota S Corporation Income Tax
Mail Station 1770
St. Paul, MN 55145-1770

North Dakota
The northernmost of the Dakotas requires ALL W-2s, 1099 paper filings, Form 307, and Form 306 be filed by February 29, 2016. Form 307 is the North Dakota transmittal form and only needs to be filed if you’re paper filing. Form 306 is the W-2 reconciliation form, and this must be filed by all W-2 filers. ExpressIRSForms supports state e-filing for W-2s and 1099s, but you’ll need to mail Form 306 (if applicable) to:
Office of State Tax Commissioner
600 E. Boulevard Avenue
Bismarck, ND 58505-0599

Ohio
In Ohio, ALL W-2s, 1099 paper filings, and Form IT-941 are due on February 29, 2016. Form IT-941 is the Ohio reconciliation form that must be filed with W-2 forms. ExpressIRSForms supports e-filing for all of these forms, but if you’d rather paper file, you’ll need to send your forms to:
Ohio Department of Taxation
P.O. Box 182401
Columbus, OH 43218-2401

Rhode Island
Rhode Island requires ALL W-2s and ALL 1099s reporting state tax withholding, as well as Reconciliation Form RI-3, be filed by February 29, 2016. ExpressIRSForms supports Rhode Island state e-filing for Form W-2. You can send your other required filings to:
State of Rhode Island: Division of Taxation
One Capitol Hill, Suite 7
Providence, RI 02908-5809

South Carolina
In ExpressIRSForms’s very own home state, ALL W-2s, 1099 paper filings, and Forms 1350 and WH-1606 are due Monday, February 29. Form 1350 is the state transmittal form for W-2s, and Form WH-1606 is the state reconciliation form. ExpressIRSForms supports SC state e-filing for Forms W-2 and 1099, however, you’ll need to send Form WH-1606 and any paper filings to:
South Carolina Department of Revenue Withholding
Columbia, SC 29214-0004

West Virginia
Lastly, West Virginia requires ALL 1099s, W-2s, and reconciliation and transmittal forms are submitted to the state by February 29. Form WV IT-105 serves as the West Virginia transmittal form for paper filers, and Form IT-103 is the reconciliation form required by all filers. ExpressIRSForms supports state e-filing for 1099s, W-2s, and Form IT-103. You can also paper file here:
West Virginia State Tax Department
P.O. Box 3943
Charleston, WV 25339-3943

E-filing is Open for 1099 Filers

If you’ve already been around the ExpressIRSForms block this year with recipient filing, then you know that the 1099s are ready to be e-filed. But if this is your first time joining us, you should know that the 1099s are ready to be e-filed! So now that we’re past that quick taste of déjà vu let’s get to know a little more about the 1099 Forms that are available to be e-filed through ExpressIRSForms.

Form 1099-MISC
Ahh, one of the classics. Form 1099-MISC, Miscellaneous Income, is filed each year if you paid someone at least $10 in royalties or broker payments or at least $600 in:
  • rents,
  • services done by a non-employee,
  • prizes/awards,
  • other income payments,
  • medical/health care payments,
  • crop insurance proceeds,
  • cash payments for fish,
  • cash paid from a notional principal contract,
  • attorney payments, or
  • any fishing boat proceeds.
Needless to say, a majority of the e-filing orders we get are for the 1099-MISC. It’s the most common of the 1099s, and one to keep in mind if you make any payments to independent contractors, attorneys, or fishermen.

Form 1099-INT
Our next form is intriguing, to say the least: Form 1099-INT, Interest Income. This form is filed each year for every recipient of at least $10 in interest income you have. Keep in mind that Form 1099-INT is for tax-exempt interest reporting only; any interest you need to report that is taxable needs to be reported on Form 1099-OID.

Form 1099-DIV
Coming in at number three is Form 1099-DIV, Dividends and Distributions. This form can be a bit tricky, and it’s filed by banks and other financial institutions for their investors. A Form 1099-DIV is filed for each investor:
  • who was paid $10 or more in dividends and other distributions on stock,
  • who was paid at least $600 as part of a liquidation,
  • “for whom you have withheld and paid any foreign tax on dividends and other distributions of stock,”
  • “for whom you have withheld any federal income tax on dividends under the backup withholding rules.”

Form 1099-R
New to ExpressIRSForms this year is Form 1099-R, *deep breath* Distributions From Pensions, Annuities, Retirement, or Profit-Sharing Plans, IRAs, Insurance Contracts, etc. Form 1099-R reports various distributions over $10 of retirement benefits, like any of the ones listed in it’s long, long name.

Keep in mind that for your 2015 1099 forms, recipient copies were due February 1, paper forms are due February 29, and e-filed forms are due March 31. And if you have more than 250 of any one 1099 Form to file, you’re required by the IRS to e-file those forms.

If you have questions about the 1099 Forms or e-filing them with ExpressIRSForms, just get in touch with our friendly customer support team. We’re available from 9 a.m. to 6 p.m. EST, Monday through Friday, by phone (704-839-2270) and live chat. We also offer 24/7 email support at support@expressirsforms.com.

The 1099 & W-2 Recipient Deadline is Just A Week Away

In the modified words of the late, great Robin Williams: Gooooood morning ExpressIRSFooorms!

Do you know what today is? Other than a Monday, of course. Today marks the start of the last week left to get your 1099s and W-2s to your recipients. The last day to have your recipient copies to your employees or payees is next Monday, February 1st.

The deadline is normally January 31st, but since that’s a Sunday, the deadline gets extended to the next business day.

It’s a common misconception that these forms need to be postmarked by the last day in January when they need to be in the hands of your recipients by that day. It’s important that you get the 1099s and W-2s to your recipients so they can accurately complete their 2015 tax returns by their deadline. If you don’t get your copies to your recipients by February 1st, you can be reported to the IRS and face steep penalties for every form not delivered.

There’s still time to e-file with ExpressIRSForms and have your forms sent to your recipients by our dedicated team. Just log in and file your forms, and from the checkout screen select the Postal Mailing option. But be sure to get your filings in soon: the postal system only works so quickly!

While you’re filing your 1099s and W-2s, why not get started on your ACA forms if you need to file those too? After this year, the recipient copies of Forms 1095-B and 1095-C will be due at the same time as the 1099s and W-2s, so it couldn’t hurt to practice getting them out there sooner rather than later.

If you have questions or need help in the e-filing process, just reach out to our friendly, US-based support team! We’re available by phone (704-839-2270) and live chat Monday through Friday, 9 a.m. to 6 p.m. EST. We’re also available to take your questions 24/7 at support@expressirsforms.com.
