Your Business's IRS Forms Are Due This Week!

It’s getting down to the nitty-gritty for IRS return filing for business owners!

Not only are your 1099 Forms due by this Friday (well, except for the 1099-MISCs reporting nonemployee compensation that were due January 31), your Affordable Care Act Forms 1094 and 1095 are due as well! And this is the e-filing deadline so, if for some reason, you were thinking of sending in paper forms: don’t. They’ll be counted as late, you’ll incur a late-filing penalty, and you’ll be making the whole ordeal a lot more difficult for yourself - especially since e-filing is the easier, more secure option for filing anyway.

You may remember last year and years before when W-2 Forms were due March 31 as well. Unfortunately - and we tried to warn you! - the IRS changed the W-2 deadline for 2016 tax year forms to January 31, 2017. If you missed the memo, try to get these forms in as soon as possible, but remember there’s a chance you’ll receive IRS penalties anyway.

At any rate, this year for the 2016 tax year, Forms 1099 and ACA Forms 1094 and 1095 are due this Friday, March 31, 2017.

EIF Reminder: The W-2 Extension Form is NOT Automatic!

We mentioned something about this way back in September, but so much has happened since then, we figured you may need a refresher!

Those of you filing the form W-2 required for the 2016 tax season this month who may need to utilize Form 8809 for 30-day extensions should know that this extension of time to file is no longer automatic for W-2 returns.

Of course, you can still apply for an extension of time to file your W-2 Forms. Just keep in mind that this form must be turned in before the January 31 deadline. And if your application is rejected, you’ll still need to have your W-2 Forms in by that January 31st deadline.

You are required to provide a reason for why you need to file. And remember that the SSA only allows extensions “in extraordinary circumstances (or) catastrophe.”

Additionally, to extend Form W-2 returns, Form 8809 must be submitted on paper this year. Mail it to:

Attn: Extension of Time Coordinator
240 Murall Drive
Mail Stop 4360
Kearneysville, WV 25430

Extension Form 8809: What You Need to Know

Did you know that you can get an extra 30 days to e-file your information returns with the IRS? All you have to do is apply with Form 8809!

What is Form 8809?
Form 8809 is officially titled the Application for Extension of Time to File Information Returns. If you don’t think you’ll be able to have the information returns you’re required to file each year ready on time, you can apply for a quick 30-day extension of time to file with Form 8809.

Now, a couple things to keep in mind about Form 8809:
  • It must be filed by the original filing deadline you’re trying to extend. We recommend not waiting til the last minute for this, though, since W-2 extensions are no longer automatic and you’ll need to get verification your extension has been granted.
  • Form 8809 does not extend your deadline for having your employee or recipient copies mailed out. So even if you receive an extension to file your 1099 Forms with the IRS, you’ll still need to make sure you have those recipient copies out by the original deadline.

For Which Forms Can I Use Form 8809?

Form 8809 can be used for a myriad of forms, namely Forms
  • W-2,
  • 1094-C, 1095-C,
  • 1095-B,
  • 1097, 1098, 1099, 3921, 3922, W-2G,
  • 1042-S,
  • 5489,
  • 5489-ESA,
  • 5498-SA, and
  • 8027.

Can Form 8809 Be E-filed?
Yes and no. For most forms, Form 8809 can be e-filed, however, this year is the first year Form 8809 must be completed on paper for W-2 Forms. For every other form, you can e-file Form 8809 with an IRS-authorized filing agent (like ExpressIRSForms*). However, Form W-2 extension requests must be mailed to:

SSA Form W-2 Extensions are No Longer Automatic

More news on the Form W-2 front!

Last week we learned that the deadline to have Form W-2 filed with the Social Security Administration (SSA) has been moved up to January 31. So be sure to keep that in mind as you prepare for the upcoming filing season!

Another new thing to keep in mind is that extensions of time to file Form W-2 with the SSA are no longer automatic.

You can still apply for a 30-day extension of time to file your W-2 Forms with the SSA by submitting Form 8809, Application for Extension of Time to File Information Returns, by January 31. Keep in mind though that you’ll need to provide a reason for your request and the SSA will only allow extensions “in extraordinary circumstances or catastrophe.”

Remember: if you’re granted an extension with Form 8809, it only applies to your W-2 Forms that are sent to the SSA. The copies of Form W-2 that are sent to your employees will still need to be sent by January 31.

Form 8809 must be submitted in paper form this year, so you'll want to make sure you send it off as soon as you know you'll need an extension. Form 8809 should be mailed to: Internal Revenue Service, Attn: Extension of Time Coordinator, 240 Murall Drive, Mail Stop 4360, Kearneysville, WV 25430.

E-file Form 8809 to Extend Your 1099 & W-2 Deadline

In case you hadn’t heard, the deadline to have your 1099 and W-2 Forms e-filed with the IRS is this Thursday, March 31. Now, you do have until 11:59 p.m. your time to get these forms transmitted, which means you’ve got the better part of four days to get everything done. But if that still seems like a pretty daunting task, have we got a form for you!

Form 8809, Application for Extension of Time to File Information Returns, can be e-filed for an automatic extra 30 days to e-file your 1099 and W-2 forms. Even better: it can be e-filed through ExpressIRSForms! It’s only $2.99 to process, and if you do pull off your filing by Thursday, you won’t be penalized for having filed an extension form. Just think of it as your very own tax-filing safety net. We’ll even show you how to e-file it now:

From your Dashboard, select Start New Form. A pop-up will appear, from which you can select to File an Extension:


On the next page, you’ll enter your payer information, or the information of the person or entity applying for an extension. You can do this by selecting a payer from the drop-down menu, or manually entering your payer information and clicking Next.


On the next screen, you’ll select which forms you need to extend. In this example, I chose to extend the filing due date for my W-2 forms:


Click Next to continue to your Summary screen. From here you can review and delete and extension forms you’ve started. You can also add a new extension form for another payer by selecting the option circled below:


Once you’re satisfied with your extension(s), click Continue to view a summary of your transaction before checking out:


Click Continue, and on the next page, you’ll select a credit card you’ve already entered or enter the details for a new one to pay the processing fee to e-file your extension. Once you’ve made sure your payment is secure, click to continue to the next page.


You’ll see this summary screen before your form is transmitted. Remember: your extension form will not be sent to the IRS until you hit that big, green “Pay and Transmit” button. We’ll then keep you updated on the status of your extension via email. So long as everything goes well - and depending on IRS wait times - you could be approved for 30 extra days to file in less than 30 minutes!
