De-Stress at Work with a Little Office Yoga

While summer doesn’t officially start for another week or so, between the longer days, warm weather, and schools letting out, it’s sure felt like summer for a bit now! And while we can’t give you the summer break your kids are getting, we can give you the tools for a much-needed mini-work break to destress and realign yourself to be ready and alert for the rest of your day.

Stress is no joke: it negatively affects your body, mood, and behavior, which, in turn, can seriously affect your work and productivity. So what’s something you can do to de-stress? Office yoga! Yoga has been shown to help reduce stress in those who practice it. And now we’ve got a little yoga sequence you can do at your desk so you can get right back to helping your clients with their taxes and feel more at ease.

  1. First, assume the position by sitting straight in your chair, feet flat on the ground, hands on your thighs. Start to pay more attention to your breath and how your body feels now.
  2. Inhale your arms up and over, bringing your hands together above your head. Use your back muscles to keep your chest and upper body lifted. Breathe here for five seconds.
  3. Keeping your arms raised, loop your left hand around your right wrist and lean to your left for a side stretch. Gaze up if you can and hold this for five breaths before repeating on the other side.
  4. Arms still over your head, place each palm on the opposite elbow and imagine you’re pulling your arms apart, but keep them held together. Hold this pose for five breaths.
  5. Next, extend both arms out in front of you and cross your left arm over your right. Bend your elbows 90° and try to touch your palms together. Lift your arms up to rest your chin on your left arm and hold for 3-5 breaths. Cross your arms the other way and repeat.
  6. Next, stand for a forward fold (if you need to stop to explain to your coworkers what you’re doing here, feel free and maybe even invite them to join!). While standing, inhale to straighten your spine then, as you exhale, hinge at the hips and slowly fold downwards. Let your arms hang or grab opposite elbows for a frame like we did before. If you need, keep your knees bent here, and stay like this for 3-5 breaths.
  7. Release your arms if you need, then slowly roll up to standing. Keep your chin at your chest and place your left, then right hand on top of your heart. Breathe here for a few moments, listening to your heart and body.
  8. Now sit back down, making sure to keep your back straight and feet flat on the floor. Place your hands on your thighs and as you inhale, round your back and tuck your chin to your chest. On each exhale, lift your face, bring your shoulders back, and lift your chest. Do this for 3-5 rounds of breath.
  9. Next, place your right hand in front of you on your desk or chair and twist to place your left hand behind you. Keep your spine tall and breathe here for 3-5 breaths. Repeat on the other side.
  10. Now take one last big stretch - however feels best in your body - and smile! Because now you’re ready to take on the rest of your day with a little (or a lot) less stress!

E-file Your W-2 Forms with ExpressIRSForms

The E-filing Basics
For a few years now, the IRS hasn’t really kept it a secret that everything goes a lot more smoothly when you e-file. In fact, if you have more than 250 of any one form (W-2s included), you’re required to e-file that return. E-filing is easier to complete, more secure, and faster than our previous filing habits. So why not hop aboard the e-filing train?

The ExpressIRSForms Basics
ExpressIRSForms actually started out as ExpressTaxFilings, which had its first season “way back” in 2013 for 1099 and W-2 e-filing for the 2012 tax year. When we started adding more non-tax information forms (like the W-9 and the ACA forms), we realized we needed a little make-over.

Information Needed to File W-2s
So before you sit down to e-file with ExpressIRSForms, there’s some information you’ll need to complete your W-2 Forms:
  • Employee info, like their name, address, and social security number,
  • Employer info, like your name, address, EIN, and state ID (if applicable), and 
  • Financial information, like their wages, as well as federal and state tax withheld.

E-filing with ExpressIRSForms
Once you create an account with ExpressIRSForms, it only takes a few simple steps to complete your W-2 return:
  • From your Dashboard, click “Start New Form” then select the W-2 option.
  • Enter your employer information and “Next.”
  • Select whether you’d like to enter your employees and their information individually or by bulk uploading an Excel template that contains their data.
  • Enter your employee details based on the selection you made in step 3.
    • If you selected individually, you’ll enter their basic details then their financial details one by one.
    • If you selected bulk upload, use our spreadsheet or one of your own to enter all the data and upload it at once.
  • Review your forms on the summary page, pay our low, one-time transmittal fee, and send your forms securely along to the IRS!
You can even decide how to send your Form W-2 employee copies with ExpressIRSForms. You can do it the old-fashioned way by printing the PDFs from your Print Center after you file and mailing them yourself OR you can select to have us do that for you before you transmit. ExpressIRSForms E-filing Features: Postal Mailing


At ExpressIRSForms, we’re all about the features - the features that make e-filing for users like you easier than ever. Last week, we talked about our Bulk Upload feature, and this week we’ll take you through our Postal Mailing feature, as well as talk a bit about the checkout process with ExpressIRSForms.
What is Postal Mailing?
So you might be wondering what we mean when we say “the postal mailing feature.” You came to an e-filing site, why are we talking about physically mailing your forms? Well, it’s simple: if you select our postal mailing package, not only will we e-file your forms federally and with your state (if applicable), but we’ll also mail the employee/payee copies of your forms to your recipients for you.

For an additional postage fee, you could quite literally be done with your filing as soon as you hit Transmit from your ExpressIRSForms account.

How Do I Get This Awesome Feature?
In order to show you how to utilize our postal mailing feature, we’ll need to back up a couple of steps to your first summary screen:


Before you select the e-filing package you’d like, you’ll see this screen which shows a summary of your order so far. From here, you can view, edit, and delete any forms you’ve completed, broken down by payer. You can also add another form for this payer by selecting the “Add form for this Payer” button, circled above on the far right. Pro tip: to get more bang for your buck, add any other payers and their forms before continuing to check out.

When you’ve got everything in order, click Continue and you’ll see this screen:


In this option, you’ll see that Federal E-file Only is the package that has been selected. As a result, even though I’ve entered state information on my W-2s, they’ll only be federally filed with the IRS and SSA, not with the state (of South Carolina, in this case).

To include postal mailing, you’ll need to select the Package tab, like in this example:


As you can see, my state icons have turned green, as have the plan options on the left side of the screen to reflect my choosing to file federally and with the state, and to have postal mail sent to my recipients. Keep in mind that even if you select this option, your state icons may not turn green; they may become any one of these stoplight colors:


So make sure you pay attention to what the signs say before proceeding. When you do click Continue, you’ll see a brief explanation of the filing requirements for the state for which you’re filing (if applicable):


Some users will be delighted to see they don’t need to do anything else while others will still be required to file additional forms with their state. Once you’ve got your ducks in a row, click Continue to be taken here:


Here we have a summary of the completed e-filing order and details on the package I chose. From here on out, it’s just a matter of paying the piper and transmitting your forms. Once you transmit your forms, your recipient copies will be sent out to your employees/payees by the next business day from our offices here in South Carolina.

Paper Filing vs. E-filing with ExpressIRSForms

February is a lull of a month for the 1099 and W-2 e-filers. With the recipient deadline behind us, and the IRS e-filing deadline not until March 31, it’s not unusual for e-filers to put their IRS reporting on the backburner. But if you plan to paper file, don’t switch out pans just yet.

The paper filing IRS deadline for 1099s and W-2s is February 29, 2016. That means you have 26 days to fill out all of those little boxes on your paper forms, then print, stamp, and mail them to the IRS. But before you waste all that paper in the name of “that’s how we’ve always done it,” consider your alternative: e-filing.

E-filers Get an Extra Month to File
If you e-file your 1099s or W-2s, your deadline to file with the IRS isn’t until March 31. Whereas if you paper file, your forms need to be into the IRS by the last day of February (since this year’s a leap year, that’s the 29th). You’d think it would be the other way around since paper filing takes more time, but since there’s more to be done on the IRS’s end to process paper forms, they require them a month earlier. Which brings me to my next point…

Paper Filing Takes More Time
Your time is important. And while you understand the importance of reporting your 1099s and W-2s to the IRS, that doesn’t mean you should have to spend a lot of time on it. When you paper file, you have to take the time to gather your information, print all the forms you’ll need, fill out those forms perfectly (otherwise you’ll get a fine), package them up and stamp them, then send them through the mail. And heaven forbid you make an error: you’ll have to wait on your mailed notice from the IRS, then fill out more forms to correct it, starting the process all over again.

When you e-file with a site like ExpressIRSForms, there’s nothing to print, stamp, or mail. You just sign in, create a new form, enter in your information, then hit transmit. You’ll get email confirmations when you transmit, when the IRS receives your form(s), and when they’re processed and accepted or rejected. And if you need to make any corrections, you just log into your account, find the form, correct it, and retransmit for free. Sounds much easier, doesn’t it?

E-filing Leaves Less Room for Error
Based on research the IRS has done, just less than 1% of e-filers make the common errors that result in penalties that 25% of paper filers make. If you paper file, your best bets for having someone double check your forms before you file are: taking your forms to a CPA (and paying their fee), taking your forms to a local IRS office (and waiting in line), or having your coworker who took an upper level accounting class in college look them over (and probably still making the same mistakes). With ExpressIRSForms, your forms go through a series of error checks before you transmit to make sure you file everything correctly the first time around.

Paper Filers May Have to E-file Anyway
Like it or not, if you have 250 or more of either the 1099 or W-2 forms to file, the IRS requires you e-file them. This is just as much for your convenience as it is theirs. I mean, have you ever tried to fill out over 250 forms? Stubbornness won’t pay out here either: if you paper file more than 250 of one form, the IRS will fine you for it.

4 Reasons You May Need to Amend Your 2014 Tax Return

Have you heard from the IRS about your 2014 tax returns? The IRS sent out a Tax Tip a few weeks ago that stated that some taxpayers might have paid more than they were required to pay, and they had a few reasons for why.

Some filers may have miscalculated their individual shared responsibility payment and overpaid, while others may have not been required to pay anything if they were exempt from the Affordable Care Act’s coverage requirement.

If you didn’t claim an exemption from this requirement but were eligible to, or you overpaid the individual shared responsibility payment when you filed your taxes in 2014, you can fix it by amending your return.

These are the four examples of situations the IRS has given where you might want to seriously consider amending your 2014 return:
  • You were exempt from the individual shared responsibility payment because you reported income less than the 2014 tax filing requirement.
  • You were not required to make an individual shared responsibility payment because someone else claimed you as a dependent. 
  • You reported a greater individual shared responsibility payment than required.
  • You made an error in calculating your individual shared responsibility payment.

In some cases, you may be due a refund after your amended return is processed. You can amend your return using Form 1040X and by completing and attaching Form 8965, Health Coverage Exemptions.

ExpressIRSForms Presents: A Visit From Ace

As the World’s First E-Filing Superhero, Ace has an important and difficult task on his hands: it is his job to inform the world (well, the United States) of the IRS’s new Affordable Care Act forms and how to e-file them through his favorite website, www.expressacaforms.com (he’s not on the internet that much). But how could Ace inform all the taxpayers of America AND protect them from his arch-nemesis Confusion unless he expanded his reach beyond the city in which he became the greatest superhero ever? (His words.)



While Ace might have a heart of gold, his brain is more a shade of pyrite (with the exception of his ACA knowledge, of course). This is why, getting lost in translation, Ace bypassed the Land of IRS Forms and came instead to the site of ExpressIRSForms.



Once in the “land” of ExpressIRSForms, Ace went about his business of fighting off Confusion wherever she reared her disorienting head. He split up fights over whether the ACA or Obamacare was better and went from taxpayer to taxpayer, telling them the information they needed for the new forms. He even made a public service announcement to try to eliminate Confusion on a larger scale, but now he’s not so sure he had the broadcast set up correctly.


Using his detective-level sleuthing skills, Ace was able to find a way to get in touch with the ExpressIRSForms “government” and tell them all the things he needed to make sure their taxpayers knew before filing for the 2015 year.


After going into further detail about each form, 1095-B and 1095-C, Ace considered his job done and left the ExpressIRSForms office rather abruptly. As he left, however, he did have one final message for the taxpayers:

Year-End Tax Strategies

December is busy enough without having to worry about the tax deadlines looming just around the New Year corner, but you might want to consider taking the time to look over what you’ll be filing before January. There are a host of tax-related decisions that need to be made by December 31st or else they won’t be applicable to your 2015 tax returns when it comes time to file.

Take a look at some of these year-end tax strategies to see how to make the most out of your 2015 return:

Consider Deferring Income
If you’re self-employed and have had a particularly good year, it might make sense to defer some of that income until 2016 to reduce 2015’s tax burden. Just wait until late December to issue invoices instead of early in the month, ensuring you won’t receive payment (or have to pay taxes on that income) until next year. Similarly, if you’re getting a big year-end bonus, you may be able to ask your boss to delay that until after January so that you don’t take the tax hit on your income until 2016.

Pay Your Taxes Now
Believe it or not, you get a deduction on your taxes just for paying your taxes. This includes property taxes as well as estimated state taxes that can be deducted on a federal tax return. If you prepay your estimated taxes before April, you can deduct that tax payment in some situations.

Donate to Charity
Any charitable giving must be done by the end of the year to be claimed on your tax returns. This means you may need to plan ahead on any donations you’re making to ensure they’re done by New Year’s Day. But procrastinators rejoice: you can claim any donations made by credit card as late as 11:59 p.m. on December 31st. As long as your receipt shows processing before midnight, you can claim the donation in tax year 2015.

Sell Your Bad Investments
Referred to as “loss harvesting,” selling a bad investment to offset profits from a good investment can make a lot of sense. The IRS calculates capital gains on a net basis year to year, so if you have one investment that made $10,000, you can avoid paying taxes on the profit if you have $10,000 in losses elsewhere to zero it out. Considering capital gains taxes can be as high as 39.6% for top earners, selling underperformers can be a powerful way to keep more of your profits from good investments.

Take Your RMDs
If you’re 70.5 years or older, the government requires you to start drawing down your tax-sheltered retirement plans like an IRA via required minimum distributions (RMDs) each year. If you don’t withdraw this minimum amount, you may take a hefty penalty of as much as 50% on the sum you should have withdrawn. Make sure you consult your tax professional or consult the IRS website for more details on your specific RMD figure to prevent leaving money on the table. RMDs vary based on age and how much you have saved.

ACA Forms 1094-B and 1095-B

When we last met around the ExpressIRSForms blog fireplace, we scratched the surface of the new Affordable Care Act forms that are required to be filed beginning in 2016 with the 2015 tax year. As a part of our ACA blog series, we’re going to focus today on Form 1095-B.

Who Needs to File?
Usually when we talk about who needs to file the IRS’s ACA forms, we talk about employers. While most employers will need to file, Form 1095-B is for the providers of insurance who aren’t employers. Form 1095-B is filed by every person that provides MEC to an individual during a calendar year. Health insurance issuers and carriers must file this for most health insurance coverage, including individual market coverage, coverage for employees obtained through the Small Business Health Options Program (SHOP), and insured coverage sponsored by employers (this refers to smaller employers who aren’t required to file themselves).

This may seem like a lot, however, there are some instances when you won’t need to report information to the IRS. Insurance issuers and carriers don’t need to report coverage provided under the Children’s Health Insurance Program (CHIP), Medicaid, Medicare (including Medicare Advantage), or the Basic Health Program; these types of coverage are reported by the government sponsors of these programs. You also aren’t required to file Form 1095-B to report coverage in individual market qualified health plans that individuals enroll in through Health Insurance Marketplaces.

What Information is Needed?
In order to complete Form 1095-B, you will need the following information:
  • The complete name, EIN, address, telephone number, and contact information of the filer (that’s you)
  • The total number of Forms 1095-B that you’re filing
  • The complete name, SSN or date of birth, and address of each recipient
  • If you’re reporting Employer Sponsored Coverage or coverage provided by another issuer, you’ll need their name, EIN, address, and contact information
  • What type of coverage was offered to your recipients broken down by month

E-Filing vs. Paper Filing
If you need to file 250 or more 1095-B forms, you will have to e-file. The IRS recommends e-filing anyway because e-filing is generally quicker, easier, and leaves less room for error. Plus, think of all the paper you’ll save. If, however, you must file by paper, Form 1094-B, Transmittal of Health Coverage Information Returns, must be sent to the IRS along with your 1095-B forms. On this form, you’ll include all of your identifying and contact information, as well as the number of 1095-B forms accompanying your Form 1094-B. When you e-file with ExpressIRSForms, we’ll automatically fill out a virtual copy of Form 1094-B based on the information you enter and send it to the IRS with your 1095-B forms.

Form 1095-B Deadlines
Your 1095-B forms will be sent out at the beginning of each year to report on the previous year, similar to income tax returns. Your recipients will need to receive their copies of Form 1095-B by January 31st. In 2016, however, they will be due by February 1st, since January 31st is a Sunday. If you’re paper filing, your Forms 1094- and 1095-B will need to be filed with the IRS by the last day of February; and if you’re e-filing, these forms will need to be sent to the IRS by March 31st.

Affordable Care Act Forms: An Overview

Coming this tax season to the best* IRS-authorized e-filing service (ExpressIRSForms) are the newly required Affordable Care Act Forms 1094-B, 1094-C, 1095-B, and 1095-C. These forms were created by the IRS so that insurance providers (including government-sponsored programs, eligible employer-sponsored plans, and individual market plans) could report certain health care coverage information to the IRS and to their recipients.

So what are these forms all about anyway? Well, ExpressIRSForms is here to answer your questions. Our next few blogs will be ACA-themed to get you as prepared as possible for filing these new forms! Today, we’ll start with the basics and a general overview of the forms.

Form 1094
Form 1094 is the transmittal form, and will normally only be filled out by you if you’re paper filing. Most e-filing services (ExpressIRSForms included) will automatically fill out Form 1094 for you and transmit it to the IRS along with your other forms. Form 1094 contains a general summary of the information about the minimum essential health care coverage you offer found on the 1095 forms you submit.

Form 1095
You can think of a 1095 form as a W-2 for health care coverage: it breaks down the health care coverage offered to and received by your recipients by month for the previous year, and you’ll send a copy of it to your recipient while the original goes to the IRS. All of your 1095 forms are sent together to the IRS along with the 1094 transmittal form.

B or C?
The letters attached to the numbers 1094 and 1095 on these forms help the IRS to identify your contractual relationship with your health care recipients. If you’re a health insurance issuer or carrier, you’ll file Forms 1094-B and 1095-B. If you’re an Applicable Large Employer (ALE), you’ll file Forms 1094-C and 1095-C. ALEs are employers with at least 50 full-time employees or full-time equivalents; these employers must offer at least the minimum essential coverage of health care to their employees according to the Affordable Care Act.

The Scary Side of Paper Filing

With Halloween just days away, it’s officially the time of the year when scary takes over. Everywhere people are getting in the spirit with horror movies, spooky decorations, and preparing to paper file their income tax returns.

And if that last one doesn’t seem like it should be a part of that list, let me be the first to tell you that it should. Yeah, yeah, people used to paper file all the time, but people also used to take photographs with corpses, so keep in mind that people are capable of doing some pretty creepy things. And also keep in mind that if you paper file, you’re taking on some of the world’s most common fears:

Fear of Failure and Rejection
Paper filers are much more likely to make an error resulting in rejection than e-filers are. Anywhere from 10 to 21% of paper returns have errors that can cause a form to be rejected by the IRS, while only about 1 in 200 electronic returns contains errors.
